Artificial Intelligence is dominating conversations across the technology industry, but I believe many businesses are still asking the wrong question.
Instead of asking whether AI will replace employees, we should be asking how AI can help employees become more productive, responsive and effective.
When it comes to business communications, I see AI as a permanent member of the team rather than a replacement for it.
Think about what every business would like from an additional member of staff. Someone who is always available, never misses a message, never forgets a task and can instantly provide information when customers need it. That’s exactly where AI is beginning to make a real difference.
However, the most important point is that AI should know when to hand a conversation over to a person.
There is a lot of debate about AI replacing human interaction, but in my experience customers are not looking for technology for technology’s sake. They want quick answers, efficient service and a positive experience. If AI can help achieve that while allowing staff to focus on higher-value conversations, everyone benefits.
For many organisations, AI can already handle routine enquiries such as directing callers to the right department, providing opening hours, confirming appointments or answering frequently asked questions. These are tasks that consume valuable time every day but don’t necessarily require human intervention.
By automating these repetitive processes, businesses can free their teams to focus on conversations that require experience, empathy and judgement.
What excites me most is how AI is becoming integrated directly into modern communications platforms rather than existing as a separate application.
Today’s cloud-based phone systems can already offer features such as intelligent call routing, call transcription, conversation summaries and automated note-taking. As the technology evolves, businesses will see even greater benefits from systems that can recognise returning customers, identify the most appropriate person to handle an enquiry and provide staff with relevant information before they answer the call.
The result isn’t a different telephone system; it’s a dramatically improved customer experience.
